Enabling Pending Invoices Function on Summa Tech Client Portal – 1st August
Good morning
We would like to inform you that as part of our new client onboarding system the “Pending Invoices” function on the Summa Tech client portal will go live 1st August 2024. If you have not yet activated your Summa Tech login, then please contact Business Support all.staff.business.support@lbgroupltd.com to receive your activation links.
This enhancement offers several benefits to both us and our clients:
- Enhanced Visibility: Clients will now have greater visibility into the status of their accounts.
- Streamlined Process: While client managers will continue to send out invoices with covering emails, a copy will also be sent to the client’s portal, along with a notification alert.
- Improved Credit Control: With this feature, there will be no excuses for clients not receiving their invoices promptly.
- Efficiency Gains: Bulk invoices (e.g., payroll, Xero) are handled seamlessly.
The Process: This automated process ensures that invoices are seamlessly added to the portal and sent to clients after they are posted in CCH. Here’s how it works:
- Bill Posted in CCH: Invoices are initially posted in CCH.
- Pending Invoices: The invoices appear in the “Pending Invoices” section, where you can choose to opt out of sending them.
- Partner Notification: At the end of each day (11:30 PM), an email is sent to the partner listing all invoices posted that day and scheduled for client delivery.
- 24-Hour Review Period: Invoices remain in the pending state for 24 business hours (excluding weekends), allowing time to opt out.
- Automatic Delivery: At 8 AM, invoices that have been pending for over 24 hours are automatically added to the portal, and clients receive an email notification.
- Marking as Sent: The invoice status is updated to “sent” in CCH.
- Client Notification: Clients receive a notification that an invoice is waiting in their portal.
- Clients’ View: See below screenshot of what the client will see:-
It shows a list of the recent invoices. They can then click the ‘View invoices’ button or ‘Invoices’ on the top navigation to see a list of all the invoices. When they download the invoice, it will save as a PDF and should look the same as if it was created from CCH.
